Who is Collecting the Data
The data is being collected by Outsideology Limited, of 1 Abinger Close, North Holmwood, Dorking, Surrey RH5 4TB (“we” or “us”). It is collected by our website, and processed by us, and for us by the following third parties:
- We use 1&1 Internet (“1&1”) to host our website. Data stored on our website is stored on a dedicated virtual server, to which only we have access, which is hosted on their EU-based platform. 1&1’s privacy policy is available at https://www.1and1.com/terms-gtc/terms-privacy/.
- We use MailerLite to manage our email marketing subscriber list and to send emails to our subscribers. MailerLite is a third-party provider, which may process your data using industry standard technologies to help us monitor and improve our newsletter. MailerLite’s privacy policy is available at https://www.mailerlite.com/privacy-policy. You can unsubscribe from our newsletter by clicking on the unsubscribe link provided at the end of each newsletter.
- We use Microsoft Corporation to store and inspect all incoming emails to ensure they are not spam, phishing, viruses or other unsolicited mail. Microsoft’s privacy policy is available via the Microsoft Trust Center: https://www.microsoft.com/en-gb/trust-center.
- We use SendGrid to process certain outgoing emails and deliver them to recipients. SendGrid’s privacy policy is available at https://sendgrid.com/policies/privacy/.
What Data is Being Collected
In general, we only collect your Name and Email Address. We may also collect your Postal Address and Telephone Number should you request our services to design or build your garden structure. Should you have a site survey, information about your home and garden, including dimensions, will also be stored both on paper and on our internal computer system. Finally, details of any items designed and/or supplied will be kept by us so that you can assist you with any queries regarding them in the future.
How Your Data will be Used.
We use your personal data to keep you informed via infrequent email newsletters, only if you have specifically opted in to receive them. If you wish to opt out at any time, you can lick the unsubscribe link provided at the end of each newsletter.
We use your personal data to send you a copy of estimates created on our website, should you request them, or book a site survey. Should you request a site survey, your data will be passed to the surveyor for the purposes of enabling them to contact you to arrange, and conduct the survey you have requested.
We use your personal data to follow up after you make enquiries via our website, email or by any other means.
Third Parties
Your data is never shared with any third party, though it is processed by certain third parties on our behalf as noted above. Each of our third-party processors, if not located in the EU, is certified under the EU-U.S. Privacy Shield Framework. Our website is hosted in Germany, and our email is processed within both the EU and the USA.
Storage of your Data
Your data will be stored whilst you remain a customer of Outsideology Limited, unless you request that it is deleted. Details of any items designed and/or supplied will be kept indefinitely in order that we can assist you with any future queries regarding what we have designed/installed for you. If you have signed up to our newsletters, made an enquiry on our website, or requested our guide or estimates, your data will be retained for a period of one year from your last contact, after which it will automatically be deleted, unless you contact us again within that period, or request that we keep your information for longer. You have the right to ask us to delete your data at any time, which we will do unless there is a lawful reason for us to retain it. You may request a copy of all the personal data we hold for you at any time by contacting us.
Complaints
Should you have any complaints regarding the use of your data, you should immediately contact Neil Phillipson, our Managing Director, at our correspondence address. We will review your complaint and take any action necessary to rectify it as soon as possible.

Cookies are used on our website to improve your experience. These include cookies which remember logged-in users to make logging in automatic on subsequent visits. We do not accept logins from unauthorised users, so this will not affect users who are not already employees or clients of Outsideology Limited.
